5 P: Lot 1: supply of new employee time recording system including supply and installation of physical terminals to record bookings. Terminals must offer the facility to record a clocking event by pass cards but may offer additional methods too. The system should also include a mobile device app and access via a web portal. The system must allow for a full range of time recording functions including, but not limited to, core business hours, flexi-time, overtime, statutory holidays, the request, approval and cancellation of paid and unpaid leave of various categories, business absence and manual adjustments. It must cope with a variety of contract types, multiple working patterns for different members of staff, ‘casual’ or non-contracted hours and provide a range of management reports. The system must provide an export or interface to our payroll system. The system must adhere to the latest ICT security principles and data protection legislation.

5 P: Lot 2: supply of new employee door access control system for our buildings, including the supply and installation of physical access terminals. Some terminals will be fitted to internal doors and some to external doors. Terminals should offer multiple access request methods (including cards). The system must allow for the configuration of different zones with differing access levels. Door access must remain functional in the event of power failure and also respond to our fire alarm system. The system must provide a range of management reports. The system must adhere to the latest ICT security principles and data protection legislation.

5 P: Lot 3: supply of a new system to allow the creation and maintenance of staffing rotas. The system should deal with staff members having multiple job roles across multiple sites. It must allow staff to view their rotas online when not at their place of work. The system should be able to send communications to staff via SMS and email. The ability to interface with our time recording system (lot 1) for reconciliation purposes would be beneficial. The system must adhere to the latest ICT security principles and data protection legislation.
